Quality Assurance Coordinator

Redline Assured Security are part of the Air Partner Group who have just had their most successful year in their 60 years of operation. This role would be a good fit for a previous PA/ office manager, due to the extremely varied tasks involved and if you have ISO 9001 experience that would be the cherry on top! If this is you, apply now, as we are recruiting for a Quality Assurance Coordinator / Administrator to join our small, Doncaster based office.

You will assist with the smooth running of all day-to-day administration within the department and maintain oversight of the internal Quality Management System in relation to ISO 9001. This position carries significant responsibility that requires the utmost diligence and attention to detail to ensure that all work undertaken is professionally administered. You will be expected to ensure that current administrative systems are adhered to and work continuously to develop, implement and improve internal processes and procedures to maintain the highest standards.

You will:

• Assist in developing, reviewing and maintaining Business Admin office systems and procedures, documentation, records and policies

• Review and maintain the approved supplier list including issue and collation of data from supplier and contractor questionnaires (QFB006)

• Assist in identifying potential problems and unexpected circumstances and take accountability for appropriate and prompt rectification

• Plan and administer travel/accommodation bookings, including processing visas and passports; ensure accurate data is recorded and report on this as required

• Compose, type and effectively file business correspondence

• Schedule internal Management meetings and take detailed minutes

• Schedule appointments and update calendars for directors as required

• Undertake research, collate data and provide reports

• Process purchase requisitions, manage stock levels and manage inventory of office supplies including stationery and office equipment

• Ensure the accurate and timely archiving/ destruction of expired records

• Manage ‘front of house’ admin services’ in a professional and timely manner:

- Offer a first point of contact telephone and meet and greet service and issue, programme, control and cancel security passes and keep areas tidy

- Organise lunches for meetings, process all incoming and outgoing mail and arrange couriers; also provide generalist administrative support to the team

• Develop and maintain an in-depth knowledge of the requirements of the ISO 9001 Quality Assurance Standard and Redline’s Business Management System Manual

• Maintain oversight of the Quality Management System (QMS) including routine reviews; assist with ideas on how to develop the QMS

• Co-ordinate and support monthly internal audits and submit final report with recommendations for action

• Conduct regular progress checks to ensure all required points are actioned

• Review and update company manuals, policies and quality forms

• Conduct QMS inductions for all new employees

• Keep abreast of and advise managers of changes to the QMS & ISO 9001; be the main point of contact for Redline employees in relation to ISO 9001

• Use leadership skills to motivate and support collaboration within the team and promote open and honest discussions

• Deputise for the Administration Manager during periods of absence and supervise, encourage and support the two administrators

What we are looking for:

• A calm, organised individual used to working in an extremely fast paced environment with varying demands on their time

• An ability to successful prioritise workload and push back on others where required

• Excellent written and verbal communication skills and a good telephone manner

• IT literacy with good experience using Microsoft Word, PowerPoint, Excel, Outlook

• Experience of ISO 9001 and managing a QMS would be a huge advantage

• Experience supporting senior level Managers with diary management, travel arrangements, administration

• A customer focused approach with the ability to be welcoming and helpful, even when under pressure

• Excellent attention to detail

• A full and valid UK driving license
